A breakdown in a rented car: what to do and who pays

When a rented car breaks down: stop safely, document the circumstances, call the fleet, and only call a recovery truck on their instruction. The fleet pays for repairs from ordinary wear; you pay if it was your fault. But the real money is lost in downtime: a week off the road at 750 PLN a week costs around 2,500–3,000 PLN once lost earnings are counted.

The order of actions

1. Stop safely

Hazard lights, warning triangle, car as far off the carriageway as possible. If it happens in traffic, safety comes before the car.

2. Judge whether you can drive on

Some faults mean you do not move at all: brakes, steering, engine overheating, smoke, heavy vibration. Trying to "just get there slowly" turns a cheap repair into an expensive one — and moves it from the "wear" category into "driver's fault".

If in doubt, you do not drive.

3. Document the circumstances

A short video or a few photos: where you are, what the instruments show, which warning light is on, what the problem looks like. The same thirty seconds that protect a deposit, working the same way.

4. Call the fleet — before the recovery truck

This is the key practical rule. Many fleets have their own recovery arrangement or roadside assistance in the policy. A truck you summon yourself may not be reimbursed — and you will pay for it out of pocket.

The grey zone runs through "misuse": wrong fuel, driving with the oil pressure light on, ignoring an obvious fault. Which is exactly why step 2 matters more than it looks.

The real cost of a breakdown is downtime

Three questions before signing

  1. Is the rent suspended while the car is repaired? If so, from which day.
  2. Is there a replacement car, and how quickly?
  3. Who calls and who pays for recovery?

All three should be answered by a clause. A verbal "we'll sort something out" on the day becomes "well, you called the truck yourself".

When the fault recurs

One breakdown is chance. The second identical one is a property of the car.

What to do: document each occurrence in writing (date, symptom, what the workshop did) and use that record to demand a different vehicle. A fleet refusing to swap a car with a recurring fault is in effect transferring its own downtime onto you.

This is where messenger correspondence beats any conversation: it carries dates.

What not to do

  • Do not repair it yourself without agreement. Even when it is faster, the cost may not be reimbursed and unauthorised work can itself become a claim.
  • Do not drive on with an obvious fault. That moves the repair into your area of responsibility.
  • Do not postpone calling the fleet until the end of your shift. Notification deadlines are usually in the contract, as with an accident.
